VIERA LABS / PRACTICAL GUIDE
The invoice says 12. Your warehouse counted 10. What should you check?
A practical way to compare purchase orders, supplier invoices and receiving records by SKU, and keep evidence for a supplier conversation.
Your supplier's invoice and your receiving record can each look reasonable on their own. The problem appears when the two disagree. Before deciding what to pay or asking someone to correct a record, bring the documents together.
Start with three records
Keep the purchase order, supplier invoice and receiving record together. Check that the supplier, document reference and delivery refer to the same transaction. A partial delivery can explain a difference; it should not be silently treated as a completed receipt.
Compare the product identifiers and units of measure before comparing totals. A case and a single item are not interchangeable. Where identifiers differ, resolve the mapping rather than guessing from the description.
Separate quantity from unit price
Illustrative example: the receiving record shows 10 units and the invoice bills 12. At an agreed USD 10 per unit, the two additional units represent USD 20 that needs an explanation. This is an example, not a customer result or a claim of recoverable savings.
Then check unit price separately. A matching quantity does not make a different unit price correct. Preserve the relevant source rows so another person can understand the question without reconstructing your spreadsheet.
Keep the review with the evidence
Record which SKU needs review, what differs and which documents support it. Keep the report for the colleague or supplier who will follow up. A useful comparison helps people make a decision; it does not decide what the supplier is owed.
Viera PO Audit is developed by Viera Labs for this comparison workflow. It compares supported purchase-order, invoice and receiving data by SKU, shows quantity and unit-cost differences with HOLD/OK results, and provides saved reports with CSV and printable exports. HOLD is a review status: the app does not block payments or update inventory.
