VIERA LABS / PRACTICAL GUIDE
20 crates out, 12 back: which customer still holds the other eight?
Keep a customer ledger for issued crates, partial returns and outstanding quantities, with an activity history for follow-up.
Completing a delivery does not mean your reusable packaging has come home. When crates leave with several customers and return in smaller batches, a single stock total cannot tell you who still holds them.
Keep a balance for each customer
Start with the customer and asset type. Record the quantity issued and the delivery or order reference available to your team. Record each return against the same customer account rather than overwriting the earlier movement.
Illustrative example: 20 crates issued minus 12 returned leaves eight held by that customer. Those eight are outstanding. They are overdue only when the relevant recorded due dates have passed. This is an example, not a customer outcome.
Preserve the movements behind the balance
A balance answers “how many?” The history helps answer “why?” Keep issues, partial returns and explained adjustments together. Before changing a disputed quantity, review the records that produced it.
That makes the next conversation more specific: which customer, which asset, which delivery and which quantity needs follow-up? Your team still arranges and checks the physical return.
Give the record a dedicated home
Viera Returnables is developed by Viera Labs for Shopify merchants who need a customer ledger for reusable assets. Record issues, partial returns and explained adjustments; review outstanding quantities, due-date-based overdue balances and activity history; export balances as CSV.
The app keeps records for the work. It does not automatically collect or refund deposits, scan individual serial numbers or arrange asset recovery. Reference deposit values are not automatic payments.
